What we’re looking for:
- The US team is seeking a Process Coordinator to help support our process maturity initiative and to manage our vehicle onboarding process with the Operations team.
- You will report directly to the Clients Marketing and Customer Experience Manager and indirectly to the Operations Sr. Manager.
- For part of this role, you will help document operating procedures for our call center agents and help with knowledge management.
- For the other part, you will support vehicle onboarding activities such as title management, inventory management, and help respond to customer inquiries.
What you’ll be doing:
Process & Operations Management:
- Manage the process for vehicle onboarding, offboarding, and inventory tracking.
- Manage the license and title process, track registration status, manage vehicle registration renewals, and support the vehicle remarketing process.
- Provide support to stakeholder inquiries.
- Identify process improvement opportunities and help with the redesign.
Knowledge Management:
- Develop standardized responses and templates for customer agents to utilize for chat and email conversations, aiming to enhance the quality and consistency of customer interactions
- Create, publish, and manage documents such as operational procedures, job aids, and reference guides.
- Facilitate regular reviews with SMEs, ensuring their insights are incorporated to maintain document accuracy and completeness.
- Help ensure documents comply with legal and compliance requirements, writing style, structure, and format standards.
Qualifications:
- At least 3 years of process management or equivalent experience
- Experience creating standard operating procedures or similar documentation
- Highly skilled with MS Excel and PowerPoint
- Experience facilitating meetings
Added bonus if you have (Preferred):
- Fleet management experience
