This position has a term length of 2 years.

Location - This role is in-person. Work primarily takes place at North Campus, Edmonton.

The Faculty of Science Dean's Office is seeking a Research Administration Lead to provide operational, administrative, and coordination support to the Faculty of Science Research Office. This position is responsible for supporting grant administration workflows, coordinating communication with internal and external research partners, maintaining research tracking systems, and ensuring smooth day-to-day operations for the Associate Deans (Research) (ADR) and the Director of Research (DoR). The role acts as a primary point of contact for research-related inquiries, assists with research activity planning, supports compliance with university research processes, and provides logistical coordination for research awards, visits, and events. The position also provides administrative support to the Associate Dean International Relations (ADIR).

  • Bachelor’s degree in a relevant field (e.g., Science, Business Administration, Public Administration).
  • 2-5 years of experience in research administration, project coordination, or university administrative systems.
  • Demonstrated knowledge of university research processes, funding agency requirements, and administrative procedures.
  • Proficiency with databases, CRM systems, spreadsheets, and document management tools.
  • Strong written communication and organizational skills.

  • Research & Grant Administration: Facilitate the end-to-end lifecycle of grants and agreements by routing documentation for signature, ensuring compliance with study protocols/SOPs, and providing administrative guidance to researchers.
  • Executive & Strategic Support: Serve as the primary contact and advisor for the ADR, DoR, and ADIR, managing complex calendars, anticipating administrative needs, and drafting high-level briefings and correspondence.
  • Financial & Data Oversight: Manage the annual Research Office budget, track expenditures, and maintain accurate data within grant tracking systems and CRM platforms to report on research performance.
  • Stakeholder Liaison & Communication: Act as a critical link between the Faculty, central university units, and external partners to streamline communication and foster collaboration across multidisciplinary teams.
  • Event & Visit Management: Lead the coordination of high-profile visits and faculty-wide events, managing everything from complex travel itineraries and dignitary protocols to venue logistics and budget tracking.
