Position Summary
This part-time position (up to 24 hours per week) within the Systems, Data Operations, and Innovation Team in the Division of Research and Innovation will provide support to the ERA Project Team. The role is primarily responsible for migrating proposal and award documents into a designated repository and assisting with document retention activities throughout the ERA system implementation. The successful candidate will contribute to maintaining data integrity and ensuring compliance with documentation standards during the transition process.

Position Duties
Data Migration Support
  • Assist the ERA Implementation Team with migrating proposal documents from Cayuse to the designated repository.
  • Support the migration of research administration documents from OnBase to the designated repository.
  • Monitor and verify data integrity during and after migration to ensure completeness and accuracy.
Documentation and Retention
  • Contribute to the development of standard operating procedures (SOPs) and user documentation to support subject matter experts (SMEs) and ensure long-term sustainability of data retention and migration practices.
  • Assist in documenting and implementing best business practices for data migration and retention in alignment with institutional policies.
  • Support the organization and classification of migrated documents to facilitate efficient retrieval and compliance with retention schedules.
Project Support and Collaboration
  • Collaborate with the ERA Implementation Team to identify and address documentation needs as they arise throughout the project lifecycle.
  • Participate in team meetings and provide updates on progress, challenges, and recommendations related to data handling tasks.
  • Maintain clear and organized records of migration activities, issues encountered, and resolutions applied.
Quality Assurance and Compliance
  • Conduct routine checks to ensure migrated data meets quality standards and complies with university data governance policies.
  • Handle sensitive information with discretion and maintain confidentiality in accordance with institutional guidelines.
Minimum Qualifications
  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered “full-time” by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Knowledge of data migration, documentation management, and repository operations
  • Ability to collaborate with project teams, communicate clearly, and demonstrate reliability
  • Strong time management and organizational skills
Preferred (Special) Qualifications
  • Academic focus or course work in Computer Science, Information Systems, Data Management, or related fields
  • Familiarity with data migration methodologies and tools (ETL concepts, data validation workflows)
  • Proficiency with database systems
  • Ability to quickly learn metadata tagging schemes and repository management frameworks
  • Ability to document and propose enhancements to data workflows and retention strategies
  • Familiarity with drafting standard operational procedures (SOPs) or business process documentation
