We have an exciting opportunity to join UW’s Central Shared Environment (CSE) an institutional hub providing critical financial and administrative services across the University. The Shared Environment Analyst (Shared Services Analyst NE S SEIU 925 Non Supv) will serve as a subject matter expert and provide transaction and policy support to multiple client units, including Finance, Planning & Budgeting (FPB), External Affairs, Continuum College, and Compliance Risk Services. Work will be conducted in accordance with Generally Accepted Accounting Principles (GAAP), Washington State Office of Financial Management (OFM) regulations, and other applicable University, State, and Federal policies.

The Analyst provides support in areas such as financial transactions, human resources, payroll, procurement, grant management, and compliance, guided by policies and workflows established by Shared Services leadership.

Shared Services Unit Definition
A Shared Services Unit (SSU) is a work group centrally located in the dean, VP, or chancellor’s office of a major organization. SSUs use Workday to deliver a mix of financial, budgetary, and human capital management services to multiple organizational units.

Basic Function
Under general direction and in collaboration with client-unit staff, apply technical and policy expertise to review complex transactions in support of constituent business needs. These may include:
• Miscellaneous payments
• Travel and expense reimbursements
• Journal entries and budget transfers
• Salary and expense transfers
• Faculty Effort Certifications
• Grant close-outs and month-end procedures
• Hiring actions, compensation changes, leave set-up, and academic personnel updates
• Applying compliance standards from GAAP, OFM, UW, federal, and international policy frameworks
• Collaborating on the development of tools, documentation, and workflows that promote efficiency and compliance
• Designing onboarding and procedural training materials
• Analyzing fiscal, operational, and service delivery data to drive improvement
• Operating and navigating Workday, UW’s financial and HR systems

Typical Work
Serves as an expert in compliance and transactions across financial, HR/payroll, and grant management areas while applying complex policies across institutional levels to support decision-making and operational enhancements with data analysis tools.
• Develop and document procedures for fiscal operations, including internal controls and audits
• Advise units on procurement, accounting, travel, HR/payroll, grant lifecycle activities, and related policies
• Review and manage transactions in Workday across financial and HR functions
• Independently research and apply policy from UW, state, and federal sources
• Monitor performance indicators and customer service metrics
• Lead regular training initiatives and knowledge sharing sessions
• Act as interim supervisor or lead, as needed
• Perform duties of a Shared Services Specialist

Minimum Qualifications
A Bachelor’s Degree and two years of work experience providing customer service in a HR, payroll, procurement and/or finance business unit, or equivalent combination of education/experience.

Specific Position Requirements
• Proficiency with Workday or similar ERP platforms in financial, HR, and payroll modules
• Knowledge of GAAP and Washington State OFM accounting standards
• Familiarity with budget structures, financial reporting tools, and expense transfers
• Experience using Workday or similar ERP systems for finance, HR, and payroll transactions
• Ability to prepare and review journal entries, budget transfers, and reconciliations
• High attention to detail and thorough understanding of transaction verification
• Working knowledge of pre-award and post-award grant administration processes
• Skill in data analysis, including the ability to interpret trends, monitor workload, and report metrics using spreadsheets or other analytical tools
• Experience with ticketing system (ex: ServiceNow) to manage transactions
• Experience developing procedure documents, training materials, and workflow charts
• Understanding of audit practices, internal controls, and compliance documentation
• Ability to troubleshoot and resolve transaction issues across functional areas (finance, payroll, procurement)
