The Department of Obstetrics and Gynecology has an outstanding opportunity for a Research Coordinator to join their team.

This position exists to independently coordinate and manage complex research activities within the REI Lab, supporting the research team in the design, execution, and dissemination of research projects. The role ensures efficient project management, compliance with university and sponsor policies, and contributes to the overall research mission of the unit and university.
This role will involve coordinating clinical laboratory and research efforts related to Ovarian Tissue Cryopreservation, and other research projects designated by CRHF fellows. Ensuring compliance with regulatory protocols, and facilitating collaboration between research teams, clinicians, and patients, the coordinator will be responsible for data collection, regulatory documentation, and overall project management to advance fertility preservation and related research. The Research Coordinator will play a vital role in bridging clinical and laboratory operations, ensuring that ovarian tissue is safely preserved and viable for future fertility use.

This role also includes assisting CRHF fellows with research related tasks as they pertain to any other projects including data entry, research subject communication, distribution of study materials, preparation and dissemination of research findings etc. Finally, this role includes laboratory coordination and administrative work pertaining to general specimen cryopreservation and billing, managing incoming and outgoing specimens to the CRHF lab, consenting for specimen disposition, and the overall administrative tasks of the CRHF laboratory.

The most demanding aspects include managing multiple concurrent research projects with competing deadlines, interpreting and implementing complex regulatory requirements, and developing solutions to unforeseen research and administrative challenges. The position requires independent judgment in research design, data interpretation, troubleshooting technical and logistical issues, and coordinating activities across interdisciplinary teams and external collaborators.

DUTIES AND RESPONSIBILITIES

Ovarian Tissue Cryopreservation (OTC) Program Coordination – 40%

  • Independently coordinate all aspects of the OTC program including patient screening, informed consent, enrollment, and clinical procedure scheduling.
  • Serve as the primary point of contact for patients, clinicians, and researchers.
  • Maintain compliance with HIPAA, FDA, GCP, and IRB regulations.
  • Ensure accurate documentation of clinical and research activities.
  • Manage daily operations and troubleshooting for OTC study protocols.
  • Collaborate across multidisciplinary teams to ensure smooth program execution.

    Sample Collection, Processing & Laboratory Oversight – 15%

  • Coordinate and supervise timely transport and handling of ovarian tissue from OR to lab.
  • Maintain detailed records of cryopreservation protocols and cryo tank storage.
  • Provide technical training to lab staff on OTC procedures.
  • Assist in optimizing cryopreservation techniques and protocols.
  • Ensure lab equipment maintenance and inventory management.

    Research Administration & Compliance – 20%

  • Prepare and maintain IRB submissions, study renewals, amendments, and adverse event reports independently.
  • Collect, enter, and analyze research data. Assist in manuscript, abstract, and grant writing.
  • Prepare regulatory reports and collaborate on fertility-related studies.
  • Manage research donation coordination (e.g., embryos to UW ISCRM) and maintain accurate donation records.

    Patient Communication & Consent Management – 10%

  • Explain scientific and clinical details of specimen cryopreservation, discard, and research participation.
  • Obtain and manage informed consents including processing, storage, donation, and discard.
  • Coordinate communication using phone, email, or written documents with patients and referring providers.
  • Independently resolve patient-related issues.

    Billing, Logistics, and Administrative Support – 10%

  • Manage billing and financial tracking for cryopreservation, specimen shipment, and external services such as paternity testing.
  • Maintain relationships with external labs, storage facilities, and regulatory agencies.
  • Support IVF cycle paperwork, EPIC data entry, QA dashboard updates, and supply ordering.
  • Triage lab calls and assist with EPIC infertility module use.

    Program Development & Collaboration – 5%

  • Identify opportunities to expand and enhance OTC and fertility preservation services.
  • Stay current with advances in reproductive medicine and tissue preservation.
  • Coordinate cross-institutional efforts and participate in multidisciplinary meetings.

    MINIMUM REQUIREMENTS

  • Masters Degree in Human Biology, Embryology, Biomedical Sciences, or related field.
  • 1 year in embryology and/or research project management role.

    Equivalent education and/or experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

    DESIRED QUALIFICATIONS

  • Experience with grant writing, regulatory compliance.
