Position Summary:
This position will serve as team leader and back-up for the Administrative Officer. The Senior Budget and Accounting Analyst is part of the Biomedical Research Education and Training Office within the School of Medicine at Vanderbilt University and is a key individual contributor responsible for facilitating the financial processes for PhD students in several programs across the School of Medicine. The position acts as a Human Capital Manager for those individuals, ensuring onboarding and payment processes are completed. The position also ensures that tuition, health insurance, and financial activities are satisfied within the financial system.
About the Work Unit:
The Office of Biomedical Research Education and Training (BRET) supports and coordinates graduate education, postdoctoral training, minority affairs, career development, and educational technology initiatives for the Vanderbilt biomedical research community. Included under the BRET auspices are the Office of Career
Development ASPIRE Program and the Office of Outcomes Analysis. The BRET office works closely with the Office of Postdoctoral Affairs and the Postdoctoral Association and has extensive responsibility for Training Grant applications as well as their subsequent administration and coordination.
Key Functions and Expected Performance:

As part of the HCM team, provide human capital management for School of Medicine students
-Human Capital Manager (HCM), which includes, but not limited to, onboarding students, funding changes (i.e., entering costing and assignment changes in Oracle), and terminations.
-Processes tuition, student fees, and health insurance (TIF) payments in the VU PeopleSoft system each semester for graduate students in the School of Medicine PhD programs. This includes creation of funding collection spreadsheets and disbursement.
- Provides financial support to the BRET Training Grant team for students appointed to BRET-managed training grants and fellowships

Responsible for tracking monthly HCM reports for accuracy and costing information
-Stipends with upcoming end dates
-Funding sources with upcoming project end dates
- Interacts with Academic Program Managers of each program, including conversations about registration and troubleshooting of any financial or HCM-related issues students may encounter
- Serves as team leader for HCMs/Budget Accounting Analysts, including responsibility for training and updating team on all HCM-related changes
- Team contact when issues cannot be resolved by other team members; point of contact before escalating to the Administrative Officer, Associate Director, and/or Assistant Dean
- Keeps School of Medicine Basic Sciences BRET HCM transaction manuals up to date
Partners with Administrative Officer to resolve and communicate budgetary issues
Serves as a resource on matters related to budgets and financial reports
- Problem solves in Oracle and with Student Accounts due to overpayment, non-payment, etc.
Assist Administrative Officer in other student system issues that may arise
Assist with special tasks or projects, as needed
Supervisory Relationships:
This position does not have supervisory responsibility, this position reports administratively and functionally to the Administrative Officer.
Education and Certifications:
A bachelor’s degree from an accredited institution of higher education, or the equivalent of experience, is necessary.
Experience and Skills:
- Strong interpersonal and communication (written/verbal) skills are necessary
- Demonstrated ability to use independent judgment and to manage and impart confidential information is necessary
- Demonstrated ability to analyze and solve problems in a time-efficient manner, including planning developing and coordinating multiple projects, is necessary
- Evidentiary knowledge of human resources administration principles and practices is strongly preferred
- Evidentiary knowledge of academic student policies, processes, and procedures is strongly preferred
- Skills in the use of word processing, spreadsheet, and database software is necessary.
- Knowledge of human resource administration policies principles, practice is strongly preferred.
- Knowledge of Vanderbilt University policies and procedures is strongly preferred.
Familiarity with Vanderbilt ERP [Oracle Cloud/SkyVU] as well as other VU systems is preferred.
