Located in the Biophotonics Research Lab in the Division of Radiological Sciences and part of the Mallinckrodt Institute of Radiology, the Administrative Coordinator II is positioned in day-to-day operations that support leading edge research and directly supports the Research Center Director.This dynamic position will be a key contact for Biophotonics Research Lab faculty to carry out various administrative tasks. The position manages and coordinates office functions, programs, schedules, provides administrative services, and performs specialized/technical duties. In addition, this position assists with day-to-day procurement and financial review.
Job Description
Primary Duties & Responsibilities:
Enters and reviews documents such as expense reports, travel documents, purchase orders, blanket orders, invoices, spend authorizations, and other documents.
Evaluates and recommends purchasing sources. Assists with telephone problems and works with vendors to establish and verify terms and agreements.
Works with other MIR groups such as grants office and division administration.
Creates and reviews financial reports and implements financial monitoring, cost transfers and payroll/purchasing processing.
Coordinates staff services, interoffice activities, schedules, programs and related administrative needs.
Provides advising (answering general questions) to students, faculty regarding training programs; enters/updates student registration and information into appropriate databases.
Plans logistics and provides administrative support for program courses, meetings, and events, including all associated details; negotiates with vendors; oversees, troubleshoots, and resolves issues that arise during events. Manages the event budget.
Coordinates staff services, interoffice activities, schedules, programs and related administrative needs.
Administers/prepares reports, minutes, correspondence, lectures and administrative materials required for the direction of the department.
Maintains established departmental policies, procedures and objectives, including regulatory records for license, reports and notifications as necessary.

Maintains all department keys, locks and mailboxes. Coordinates ordering and distribution of supplies and handles problems concerning material received.
Monitors the general maintenance of the building, notifies maintenance of problems, places work orders and follows-up with housekeeping on the completion of tasks.
Develops budget reports and implements financial monitors, cost transfers and payroll/purchasing processing.
Assists with visitors and customers questions and needs.
Assists with payroll processing and other clerical functions when needed.
May supervise other nonexempt staff.
Performs other duties as assigned.

$21.17 - $32.85 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University.
