Position Summary

Coordinates Clinical trials budget and billings programs. Reviews clinical trial protocols to determine the cost of executing the protocol. Using established parameters negotiates budgets with vendors. Coordinates with numerous departments to establish study specific support plans and to determine the cost. Serves as the single point of contact to facilitate data sharing between the University and Hospital billing matrix, a process for determining standard of care vs research-funded patient billing. Sets up billing plans for each study and guides the billing/budget assistant in their work.

Job Description

Primary Duties & Responsibilities:

  • Performs a thorough review of new protocols, protocol amendments, and Investigator initiated concept studies to identify study related procedures and services, then organizes them into a schema to create a budget for billing. In collaboration with the study team leads and PI, identifies and differentiates between Standard of Care (SOC) vs Research procedures. Distributes pertinent information to PI, pharmacy, nursing, lab, imaging and other departments as required to ensure schema accurately depicts the requirements of each contributor.
  • Utilizing internal costs, historical study metrics and the sponsor’s budgetary proposal, prepares a budget to be sent to the sponsor to begin negotiations. Maintains regular contact with sponsor to finalize the budget and facilitates inclusion of the budget into the formal Clinical trial agreement through regular contact with staff in the University contracts office for clinical trials.
  • Coordinates with research regulatory staff to ensure each study’s consent form correctly identifies which procedures are paid for by the study and which procedures will be billed to insurance (SOC vs R).
  • Conducts a line-by-line review of all final Clinical trial agreements to ensure final contracts accurately reflect the budget terms agreed upon.
  • Prepares an individual study plan to assist the study coordinators in completing study procedures and to ensure that supporting departments’ charges for study services are appropriately captured and billed to the study.
  • Coordinates with financial billing contact for each study to ensure that billing and collection activities are in accordance with established budget.
  • Provides the University and Hospital research billing compliance office with each studies billing plan based on the final budget approved and the fully executed contract.Works with these offices to provide clarification, corrections and updates to the billing plan through the life of the study.
  • Serves as the Point of Contact to troubleshoot compliance problems and questions.

Salary Range

$49,700.00 - $82,100.00 / AnnuallyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
